Statutory compliance readiness

  • GST e-invoicing: Applies. Applies. Estimated turnover ₹12,00,00,000 a year is above ₹5,00,00,000, so B2B invoices, exports and stock transfers to your other GSTINs need an e-invoice (IRN). (rule 48(4), CGST Rules, 2017, with Notification 10/2023–Central Tax dated 10 May 2023, effective 1 August 2023.)
  • Input Service Distributor (multiple GSTINs): Applies. 2 GSTINs under one PAN. ISD registration is mandatory for distributing common input services among distinct persons (GSTINs under the same PAN). (section 2(61) and section 20, CGST Act, as amended by the Finance Act, 2024, brought into force by Notification 16/2024–Central Tax dated 6 August 2024.)
  • Audit trail (edit log) and daily backup in India: Applies. A company's accounting software must record an audit trail (edit log) of every change to each entry, which cannot be disabled, and the books and papers kept electronically must be backed up daily on servers physically located in India. The auditor reports on the audit trail. LLPs, partnership firms and proprietors are not covered by these Companies Act rules. (Proviso to rule 3(1) and rule 3(5), Companies (Accounts) Rules, 2014; rule 11(g), Companies (Audit and Auditors) Rules, 2014 (as on 2 November 2026))
  • Monthly marketplace TCS and turnover reconciliation: Gap. Marketplaces report your sales in GSTR-8 (GST TCS) and in your annual information statement for income tax. Matching them each month with what you report in GSTR-1 (Tables 14 and 15 for sales through marketplaces) finds differences before they turn into turnover-mismatch notices. (Section 52, CGST Act, 2017 (GSTR-8); Table 14/15, GSTR-1; Form 168 annual information statement, Income-tax Act, 2025 (as on 2 November 2026))

Checks from the figures you enter, as on 2 November 2026. Confirm against your own turnover and registrations.

Planning estimates from the assumptions listed on this page, not a time study of your team.

The structured setup these hours assume

  1. Channel sales & fee ledgers. One sales ledger and one fee ledger per channel, so each marketplace and your own site post to their own accounts.
  2. State-wise GST voucher series. A voucher series for each GSTIN, so GSTR-1 and GSTR-3B for every state come straight from the books.
  3. Warehouse FIFO stock groups. Stock groups and godowns for each warehouse, valued on FIFO, so stock and COGS agree with what each location holds.
  4. Landed-cost COGS mapping. Freight, duty and inward charges loaded onto purchase cost, so COGS reflects the full cost of each SKU.
  5. 5-day monthly close SOP. A written checklist with owners and dates for imports, GST, stock and MIS, so the books close in the first week.

What this tells you

As orders, channels and warehouse states grow, entering vouchers, splitting GST by state and valuing stock by hand takes more of the finance team’s month, and the books close later.

Enter your volumes to see the hours spent each month, the hours a structured chart of accounts and ERP setup saves, how quickly that setup pays back and how many days sooner the month could close.

Assumptions used

  • Manual voucher entry: 0.3 minutes per order plus 4 hours per channel a month.
  • Multi-state GST preparation: 6 hours per GSTIN a month.
  • COGS valuation and MIS: 7.2 minutes per SKU plus 3 hours per channel a month.
  • Structured setup: 1.5 hours per channel, 2 hours per GSTIN and 4 fixed hours a month.
  • Manual close: 3 days, plus a day per 2,500 orders, a day per channel and 1.5 days per GSTIN, rounded up and at most 25 days. Structured close: 5 days.
  • Hours are planning estimates for a typical multi-channel seller, not a time study of your team.
  • Average order value (₹1,180 incl. GST), software budget (₹12,000 a month) and recoverable leakage (₹0) are illustrative defaults to replace with your own.
  • Annual turnover is estimated from this month’s orders × 12. The e-invoicing limit is tested on the aggregate turnover of all GSTINs under your PAN in any financial year from 2017-18; the tool says “approaching” from 80% of it.
  • B2B invoicing starts at Yes when you have more than one GSTIN, because stock transfers between your own GSTINs are supplies. Change it if that does not fit.
  • Statutory checks are as on 2 November 2026.

How this is calculated

  1. Manual hours = (orders × 0.005 + channels × 4) + GSTINs × 6 + (SKUs × 0.12 + channels × 3).
  2. Structured hours = channels × 1.5 + GSTINs × 2 + 4.
  3. Hours saved = manual − structured (never below zero). Cost saved = hours saved × hourly cost; a year is 12 months.
  4. Payback = setup cost ÷ monthly cost saved.
  5. Manual close days = 3 + orders ÷ 2,500 + channels + GSTINs × 1.5, rounded up, at most 25.
  6. Annual turnover excl. GST = orders a month × average order value incl. GST ÷ (1 + GST rate) × 12.
  7. Gross monthly value = hours saved (your own figure, if entered) × hourly cost + recoverable settlement leakage.
  8. Net monthly gain = gross monthly value − software budget. Payback on the net gain = setup cost ÷ net monthly gain.

Worked examples

Example: 10,000 orders a month on 4 channels

2 warehouse GSTINs, 150 SKUs, team cost ₹500 an hour, setup estimate ₹75,000.

  • Manual: vouchers 66 h + GST 12 h + COGS and MIS 30 h = 108 hours a month.
  • Structured: 14 hours. Saved 94 hours a month, ₹47,000.00 a month and ₹5,64,000.00 a year.
  • Payback 1.6 months. Close about 14 days manual against 5: 9 days sooner.

Example 2: statutory checks and the net gain for a 3-GSTIN company

6,000 orders a month at ₹1,180 incl. 18% GST (₹1,000 excl. GST), 3 GSTINs, a private limited company; your own figure of 45 hours saved at ₹600 an hour, ₹35,000 of settlement leakage recoverable and ₹12,000 of software a month.

  • Turnover ₹7,20,00,000 a year is above ₹5,00,00,000: e-invoicing applies.
  • 3 GSTINs: Input Service Distributor registration applies. A company: the audit trail and daily India backup apply.
  • ₹27,000 team time + ₹35,000 leakage = ₹62,000 gross; less ₹12,000 software = ₹50,000 net a month.

Questions sellers ask

Where do the hours come from?

They are planning assumptions for a typical multi-channel seller, listed under Assumptions on this page: time per order for voucher entry, per channel for imports and MIS, per GSTIN for return preparation and per SKU for stock valuation. Your team’s actual time depends on your data and tools.

What does a structured setup mean here?

A chart of accounts and ERP workflow built for ecommerce: a sales and fee ledger per channel, a voucher series per GSTIN, warehouse-wise FIFO stock and landed-cost COGS, with summary imports in place of order-by-order entry and a written close checklist.

Does this work for Tally Prime and Zoho Books?

Yes. The same structure can be set up in either. The tool does not depend on the software; it estimates the time a structured setup saves against manual entry.

Why does each GSTIN add so much time?

Every GSTIN files its own returns, so sales, credit notes and input tax credit must be split by state each month. Without a voucher series per GSTIN, that split is done by hand from reports.

Is the setup cost a quote?

No. It is your own estimate, used only to work out a payback period. Enter whatever figure you have in mind.

Want our team to look at these numbers alongside your books?

We keep books, file GST and TDS returns and prepare monthly MIS for D2C and marketplace sellers. Share your figures and we will walk you through what we find.
