Your marketplace’s windows

Illustrative platform policy preset — verify against your current seller panel. It fills the two windows below, which you can still change.

Usually today. Days are counted to this date.

From your marketplace’s seller policy.

Days after delivery the payout is due.

Advanced options

The figures below start with illustrative defaults — replace them with your own data.

Used when you enter a box size in a weight row: L × B × H ÷ this. Check your courier’s rate card.

The marketplace deducts GST on the excess shipping fee too, so that cash is blocked until the dispute is settled.

Customer returns to claim

Returns that came back damaged, wrong or missing, with the date the return reached you. Up to 500 rows; import a CSV in the same column order.

Customer return claims

Columns in the order shown above. Processed 100% in your browser on this device. No file or figure is ever uploaded to any server.

Orders not settled in full

Delivered orders where the payout is short or missing. Up to 500 rows; import a CSV in the same column order.

Order settlements

Columns in the order shown above. Processed 100% in your browser on this device. No file or figure is ever uploaded to any server.

Courier weight charges

Billed weight against the higher of actual and volumetric weight. A box size (L × B × H) replaces the volumetric weight; the share that came back is charged again on the return leg (illustrative default 20%). Up to 500 rows; import a CSV in the same column order.

What this tells you

Money leaks out of marketplace settlements in small amounts: a return claim not filed before the window closes, a payout that never arrives in full, a courier that bills a heavier slab than the parcel needs.

Enter the rows from your settlement and courier reports, or import a CSV, to see what can still be claimed or disputed, and what is already past the window.

Assumptions used

  • GST on marketplace, courier, payment gateway and advertising services is 18%.
  • The claim window and settlement cycle are the ones you enter; they are not checked against any marketplace’s policy.
  • Days are counted from the date entered to the reference date.
  • A claim inside the window is counted as recoverable; whether the marketplace accepts it is not assessed.
  • Weight slabs are counted from zero: a 0.5 kg slab means 0.5, 1.0, 1.5 kg and so on.
  • Marketplace presets fill illustrative claim and payout windows; they are not checked against any marketplace’s current policy. Verify them in your seller panel.
  • The share of shipments that came back (RTO plus customer returns, illustrative default 20%) is charged the same overcharge again on the return leg.
  • GST on the excess courier fee (18%, from Tool Settings) is shown as cash blocked; the leakage total counts the overcharge excluding GST.
  • Statutory references are as on 2 November 2026.
  • Rows are saved in this browser only and are not sent anywhere.

How this is calculated

  1. Return claim: days elapsed = reference date − return date. Not filed and within the window: file now. Past the window: expired.
  2. Settlement: shortfall = expected payout − settled. A shortfall more than the settlement cycle after delivery is overdue.
  3. Volumetric weight = length × breadth × height (cm) ÷ divisor (illustrative default 5,000), when a box size is entered.
  4. Weight: correct slabs = higher of actual and volumetric weight ÷ slab, rounded up. Billed slabs = billed weight ÷ slab, rounded up.
  5. Overcharge = shipments × (billed slabs − correct slabs) × charge a slab × (1 + share that came back).
  6. Cash blocked = overcharge × (1 + GST on fees, 18%).
  7. A return or shortfall from the last financial year is flagged: a GST credit note for it can be issued only up to the cut-off in Tool Settings (section 34(2) of the CGST Act).
  8. Leakage = recoverable + expired.

Worked examples

Example: checked on 1 Nov 2026, 30-day claim window, 15-day settlement cycle

  • ORD-1001: return on 08/10/2026, 24 days ago, so 6 days left to claim ₹1,200.
  • ORD-1002: return on 20/09/2026, 42 days ago — past the window, ₹900 lost.
  • ORD-1003: delivered 27 days ago, ₹850 still not settled — overdue.
  • SKU-WT-01: actual 0.45 kg, volumetric 0.48 kg, billed 1 kg on 0.5 kg slabs: 1 extra slab × 200 shipments × ₹40, plus the share that came back = ₹9,600.
  • SKU-BOX-02: box 25 × 20 × 9 cm = 0.9 kg volumetric, billed 1.4 kg: overcharge ₹24,000.00, or ₹28,320.00 including GST at 18%.

Leakage ₹36,550: ₹35,650 recoverable, ₹900 past the window.

Questions sellers ask

Where do I find the claim window and settlement cycle?

In your marketplace’s seller policy or seller support pages. They differ by marketplace and by category, and they change, so enter the ones that apply to you.

How is the courier overcharge worked out?

Couriers bill on the higher of actual and volumetric weight, rounded up to the next slab. The checker rounds that weight up to slabs, does the same for the weight you were billed, and multiplies any extra slabs by the charge a slab and the number of shipments.

Why type dates as DD/MM/YYYY?

So 04/05/2026 is always read as 4 May, never 5 April. YYYY-MM-DD also works, which is how many spreadsheets export dates.

Does this check returns that never reached the customer?

No. It looks at customer returns you can claim for, short settlements and courier weight charges. Undelivered orders sent back by the courier are not covered.

Are my rows saved or sent anywhere?

Your rows are saved in this browser only, so they are still here when you come back on the same device. Nothing is sent to us.

Want our team to look at these numbers alongside your books?

We keep books, file GST and TDS returns and prepare monthly MIS for D2C and marketplace sellers. Share your figures and we will walk you through what we find.
